Looking for an opportunity to do good work for a good cause? YES! Media is seeking a dynamic, take-charge individual to be our full-time office manager and bookkeeper.

Overview

  • Provide accurate tracking and managing of the day-to-day accounting and financial operations, which provides management with a reliable measure of the organization’s performance.
  • Support the work of YES! by delivering a functional workplace for staff and performing administrative tasks related to the executive director and operations.

This position reports to the finance and operations director and works closely with all staff, interns, and volunteers.

Key Responsibilities

  • Overall bookkeeping
  • Manage office systems and procedures to ensure support of staff and executive director
  • Manage all aspects of the physical offices
  • Administrative support

Bookkeeping

  • Posting of all A/P and A/R transactions, reconciling bank accounts that include checking, electronic checks, PayPal, EBSCO, and Amazon accounts
  • Issue and submit checks and electronic payments for approval
  • Perform payroll duties including processing bi-monthly payroll, maintenance of staff wage, and benefit statements
  • Process timely tax deposits and filing of quarterly tax reports
  • Record daily bank deposits
  • Process end of year tax reports, 1099 and W2
  • Manage credit card payments, receipts, and associated digital filing

Manage office systems and procedures to ensure staff has needed resources and support

  • Procure office supplies and equipment in a cost-effective manner
  • Maintain volunteer contact lists and communication to assist staff and aid in community building
  • Maintain Seattle Office membership files and meeting room reservation requests
  • Maintain files and office records systems

Manage all aspects of the physical office

  • Facilitate upgrades, repairs, and improvements to our physical office space, including ergonomic workspace and staff workspace requirements/preferences
  • Liaisons with outside services that impact the office (repairs, cleaning)

Administrative Support

  • Manage logistics for internal staff and board events in the most efficient and effective way
  • Provide administration and coordination support for board and board committees
  • Coordinate board book preparation and mailings prior to meetings
  • Help with mailings
  • Coordinate travel arrangements for staff and board members when requested
  • Customer service email and phone support as needed

Skills Qualification

  • Proficient with QuickBooks (3-5 years)
  • Competent with MS Office 365 applications and other Cloud-based applications
  • Excellent writing skills
  • Discretion and confidentiality
  • Organizational skills and accuracy
  • Able to identify efficiencies and improve systems
  • Able to set priorities and meet deadlines
  • Strong customer-service orientation and excellent phone manner
  • Flexible team player with consensus-building skills
  • Ability to work independently and see projects to completion

Education

  • Bachelors degree or equivalent experience

Compensation

This is a full-time position with a salary range of $48K-52K/year, depending on experience. Excellent benefits, including fully paid medical, dental, disability and vision insurance, and generous vacation, holiday, and sick leave. Benefits also include a retirement plan and paid public transportation commuting expenses. The position is based at the YES! office on Bainbridge Island, within walking distance of the ferry, and requires work in our Seattle office a few days a month.
